Buying Microsoft Licences for Your Malaysian Business

A simple five-step guide for SMEs

By Atif H., CEO, AME Enterprise

Using unlicensed software exposes a company to security risks and legal trouble. Licensing correctly is cheaper than the alternative.

Step 1: Count what you have

List every PC, server and user, and note which software each one runs.

Step 2: Pick the right products

Most small offices need Windows 11 Pro, Office or Microsoft 365, and sometimes a server licence with user CALs. Specialist teams may add Visio or Project.

Step 3: Choose licence type

Under about five users, retail or OEM is often enough. Beyond that, ask about volume pricing.

Step 4: Keep records

Store invoices and keys in one place. You’ll need them for audits, renewals and insurance.

Step 5: Plan renewals

Subscriptions renew yearly, and some products reach end of support. Put the dates in a calendar.

We supply genuine Microsoft software to companies across Malaysia with free shipping and special pricing for business orders. Visit our business page and send us your list, and we’ll prepare a quote.

How to count users and devices accurately

List every PC, laptop and server that needs software, and who uses each one. Licences are normally bought per device or per user, so an accurate list stops you overpaying or leaving a machine unlicensed.

Which Microsoft products a typical Malaysian office needs

Most Malaysian offices need Windows 11 Pro on staff PCs, an Office edition such as Office Home & Business 2024 for documents and email, and sometimes server software such as Windows Server 2025 Standard or SQL Server 2025 Standard for shared files and databases (server software normally also needs user or device CALs, so ask us for guidance). Designers and project teams may also need Visio or Project.

Why proof of purchase matters

Keep every invoice, order confirmation and licence key in one place. If a client, auditor or software vendor ever asks you to prove your software is licensed, a clear paper trail is the easiest answer.

Retail or volume licensing?

Small offices with a handful of PCs can buy retail or OEM licences one by one. Larger organisations may prefer volume licensing agreements for central management. If you are unsure, our guide OEM vs Retail vs Volume Licence compares them.

Avoid common mistakes

Do not install one licence on many PCs, do not buy keys from sellers who cannot give an invoice, and do not mix home licences into a company network without checking the terms. Using non-genuine software exposes your business to security and legal risk.
